What can I expect to do in this role?
Reporting to the Director, Human Resources, the Human Resources Administrator will provide administrative and clerical assistance to various HR functions and ensure the smooth operations of HR and Payroll processes within the People, Equity and Corporate Services Department.
- Prepare and maintain accurate records and reports related to HR, payroll and other activities.
- Assist in the onboarding process, including the collection of personal and employment information and setting up new employees for payroll administration.
- Organize and maintain new and existing employee files and documentation, input data in ADP and prepare files for archiving.
- Coordinate and assist in the recruitment and selection process by posting job openings, screening resumes, and assisting with the interview process.
- Assist with payroll processing and benefits administration, including records of employment, pay adjustments and transfers, OMERS Pension Plan and responding to enquiries.
- Update employee information and upload employee file documents on multiple applications and platforms (i.e. Learning Management System and HRIS)
- Prepare general correspondence and documentation such as employment verification letters, printing pay statements, forms, and checklists.
- Provide a high level of customer service, and respond to inquiries regarding general payroll, time & attendance and human resources practices to internal and external customers and other stakeholders.
- Assist and coordinate with the probationary review process, performance evaluations, analytics and maintaining performance records in ADP workforce now.
- Support HR initiatives, such as job fairs, recognition & awards, social activities, event planning etc.
- Assist with HR compliance activities, including ensuring adherence to regulatory requirements.
- Support HR projects and initiatives as assigned, collaborating with HR team members to achieve departmental goals.
- Maintain confidentiality and accuracy of appropriate documentation throughout employment history and life cycle for employees.
- Organize and prepare internal and external outgoing mail.
- Perform other tasks as assigned.
How do I qualify?
- Post-Secondary education in HR related field.
- 2+ years of experience in HR performing recruitment and selection, onboarding, benefits administration and general HR/Payroll function.
- Proficiency in ADP Workforce Now HRIS system is an asset.
- Excellent knowledge of Microsoft Office Suite.
- Excellent organizational and time management skills with the ability to handle multiple tasks and prioritize effectively.
- Self-starter with a strong work ethic, excellent attention to detail and accuracy.
- Ability to take initiative, prioritize and meet strict deadlines
- Exceptional interpersonal and communication skills, both written and verbal.
- Ability to maintain strict confidentiality and handle sensitive employee information with professionalism and discretion.
- Strong problem-solving, project management and decision-making skills.
- Ability to work independently and collaboratively in a team.
- Ability to work on site in a fast-paced corporate environment.
- Flexibility to work occasional weekends and/or holidays as needed to support operational needs.
